"Game changer"
16
Founded in 2010, MWR now operates from four offices across the South West of England and South Wales, with a team of ten. The firm is in the middle of an active growth phase, with three further office acquisitions in advanced discussions and another two or three expected to follow.
“We're in good conversations with certainly three further offices that would hopefully come online, and there's another two or three which, if they don't come on this year, hopefully will come in the year after. Watch this space.”
The firm has used TaxCalc for many years for accounts production and tax, and more recently added Engager for practice management after several years of relying on spreadsheets.
"It's been a game changer, onboarding new clients is a doddle, a really, really useful system"
Jonathan Rees - Managing Director - MWR
Before Engager, MWR relied on multiple spreadsheets to track confirmation statements, accounting deadlines and self-assessments, a system Jonathan describes as fragile.
"The problem with spreadsheets is they can be edited, lost, or corrupted, which is not really a great way to run a practice."
The fact that Engager linked directly with TaxCalc made the decision straightforward. Eight months on, Jonathan calls it a "game changer" for the practice.
Engager has given MWR's leadership team clear visibility of where work is stacking up, and where staff need support.
"It's been about monitoring the workflows, seeing where we've got bottlenecks, and being able to give support to staff who are struggling for whatever reason, whether it's just the timing of deadlines."
"The amount of time that we've saved has been astronomical"
Jonathan Rees - Managing Director - MWR
"You basically set the client up, create the letters of engagement, and then once you've got the details of the other accountant, you can send all the letters through the system for clearance. It's been really useful, saving a lot of time on admin."
The results have gone beyond what MWR expected when moving off spreadsheets.
"The more we use it, the more we're getting out of it. I'm sure there are still elements of it we should be spending a bit more time getting set up properly, but from day one it's been a big time saver for us. I can't fault it."
Looking ahead, the firm plans to build out automated client communications in Engager, covering mass communications and checklist chasers, ahead of the next tax season.
MWR first adopted TaxCalc in 2010 for self assessment and corporation tax returns, running it alongside a separate accounts production system. When TaxCalc's accounts production module became available in 2016, the firm consolidated onto a single connected platform.
"The integration with the tax return side of things was a big plus. If we had to use a new system, we might as well use something that talked to the other side."
That integration has paid off day to day. Where the firm's previous accounts system meant closing down one client's file before opening another, TaxCalc lets the team move between clients instantly.
"If you get a phone call from a client, you're working on someone else's set of accounts, they've got a query, you can quickly load up that file, open a new tab and away you are. With the old system we'd have to shut it down, see what you're doing, shut it down, open it up again. You're wasting lots of time opening and closing programs."
Real-time reporting has also changed the way the team works: posting a journal and running a report gives an instant, up-to-date result, rather than a lag while the team waits for figures to catch up.
The transition was smooth for staff, thanks to TaxCalc's step-by-step approach to tax returns.
"There weren't any complaints. Everything's visually laid out easy, even with attached returns, there's the simple step notion, so even if you don't know what you're doing, you could have a good go at it."
With several acquisitions in progress, MWR has worked with the TaxCalc team to build a structured onboarding process for newly acquired practices, including dedicated training sessions for new staff.
"In fairness to the TaxCalc team, when we last acquired a practice moving from ███, they took care of that transition for us, I think we'd still be there now moving all that data across."
That support has been formalised into a repeatable plan for the acquisitions ahead.
"We now know that when we go to take over a new practice, there'll be training in place, two or three sessions for the new manager and staff. My time won't be spent giving training sessions; that'll be taken care of by the people who know what they're doing. It'll take a lot of stress off the transition period."
Jonathan sees the TaxCalc and Engager combination as the foundation for unifying every practice MWR brings on board.
"Our intention is to take the tech stack that's working really well for us and print that onto the other firms we're looking at. I can't see us wanting to move to another system now, it's been really, really good."
Feedback from staff at the firm acquired from ███ has been positive, despite the adjustment of moving between systems.
"Overall, the feedback from the staff has been that the system is a lot easier to use, more user-friendly. Even I was struggling to work my way around ███, it wasn't as easily laid out as TaxCalc is, with the dashboards and the reporting you want to get out of it."
MWR hasn't needed to lean on TaxCalc's support team often, but when they have, the response has been prompt, either resolving the issue directly or pointing the team to the knowledge base, with updates on known issues.
On value for money, Jonathan is unequivocal about the time savings the combined platform has delivered, including for MTD reporting.
"I don't know if I could put a price on it. The amount of time we've saved has been astronomical, just in terms of admin and generating reports. With MTD, for example, we knew from the system, by running a simple report, who was going to get caught by that, whereas historically we'd have had to troll through spreadsheets and pull it together. One simple report and there it is. It's a real cost saving."
"Just do it. You won't regret it. We've very rarely had to use the support side of things, so everything seems to work, and there's nothing worse than systems being down. I'd recommend anyone use it who's thinking about it, the layout is easy, and the staff we've acquired have taken to it really quickly. Don't hesitate. Just go out and do it."
