Matthew Portess founded AppleLeaf Chartered Accountants in his bedroom in 2017. Nine years and a team of ten later, the firm has grown every single year and Matthew puts a good part of that down to spending less time wrestling with software and more time on client work. TaxCalc handles the firm's accounts production and tax returns; Engager runs practice management end to end, from onboarding through to disengagement. Since the two came together, Matthew says the combination "more than pays for itself."
This wasn't written by software developers that thought they were giving us the solution of what they thought we needed. It was written by accountants and built by accountants.
Before Engager, Matthew describes practice management at Apple Leaf as "a bit of a checkered history." The firm moved between a number of mainstream options - never quite finding a system built for how a small firm actually works. "Everyone says changing your practice management software is the one thing you really have to do, it's the big upheaval," he says. "We seemed to change it every year."
The turning point was a YouTube video. Matthew came across Engager co-founder Johann demonstrating the product, specifically its handling of client onboarding, professional clearance requests to a client's previous accountant, and disengagement when a client leaves. It was a workflow none of the other systems he'd looked at had properly solved.
Apple Leaf signed up within a week, well before Engager and TaxCalc merged, Matthew estimates it was 2021 or 2022, when Engager was "just starting to get a little bit of momentum."
The key thing is with both pieces of software, Taxcalc and Engager, they're both intuitive, they're really easy to use.

TaxCalc's role at AppleLeaf predates Engager by several years. Matthew started the firm with a cloud-based competitor, drawn in by the promise of a fully cloud product. The relationship soured quickly: figures on a corporation tax return began changing unpredictably, and when he called the helpline on a Friday afternoon with a large client's return on the line, nobody picked up. "I thought, this can't go on. I need a software company that's going to support me through this journey."
TaxCalc's pricing and functionality, accounts production, tax returns and company secretarial won him over, and the reliability has held. "You can safely say TaxCalc is a staple of AppleLeaf. It's something I would never change."
Before the merger, running TaxCalc and Engager side by side meant maintaining two separate databases, updating client details in Engager for practice management, then doing it all again in TaxCalc for accounts and tax. It worked, but it cost time. "So when I heard about the merger between Engager and TaxCalc, it was music to my ears."

With the integration live, updates made in one system now flow through to the other automatically. Matthew is clear-eyed that this is just the foundation, TaxCalc plans to extend it further, pushing tax information prepared in TaxCalc through to Engager to keep clients better informed. Even at this stage, he says the effect on the firm's internal processes has been significant: cleaner, more consistent, with fewer friction points day to day. Crucially, nothing has been lost in the process, if anything, AppleLeaf has gained functionality it didn't have before, which matters for a firm without a dedicated admin team to pick up the slack.
One area where Engager's integration has changed how AppleLeaf works with prospective clients is proposals. The firm can now build and send a pricing proposal through Engager during, or within a few hours of an initial client meeting. "It works really well. We can usually do a proposal in the meeting with the client, or certainly a few hours afterwards."
Combined with full onboarding, offboarding, and letter of engagement and disengagement workflows, that speed has become a meaningful differentiator when AppleLeaf is competing for new business.
AppleLeaf's migration happened while Engager was still early in its roadmap, moving roughly 150 limited companies and 300–400 sole traders and tax returns from TaxCalc into Engager. It took about a week, with the firm downloading the database from TaxCalc and uploading it into Engager in what was, at the time, a single-pass process. Matthew notes the onboarding process is considerably slicker now, more so again since TaxCalc and Engager came together, but his advice to firms considering the move stands regardless of how the technical process has improved: be realistic about downtime, because time not spent on client work is time that costs money.
On the other side of migration, the team was up and running almost immediately, learning the system from training videos with barely any disruption to client work. "Both pieces of software are intuitive, they're really easy to use. The staff were able to adopt it really quickly and hit the ground running."
Just by having that integration, you guys are more than paying for yourselves and I think that's all you can really ask for from a software company. It's probably about five, six, seven grand a year in admin time.
For a ten-person firm with no dedicated admin function, that's not a marginal saving, it's time redirected straight back into client work. As Matthew puts it, if a software company can pay for itself in the efficiencies it creates within the practice, "then I think you can't do any more, really."
